News and Notes About Re:discovery Proficio

Following the successful release of ANCS+ version 8 to the National Park Service in August 2006, this year marked the anxiously awaited release of the standard version of Re:discovery Proficio

Built with Microsoft's preferred database development software, Proficio’s intuitive user interface and powerful features make the job of managing museum and archival collections easier and more enjoyable.  In short, Proficio sets a new standard for collections management software!

Among the many great new features Proficio offers, here are a couple we would like to highlight in this edition of Re:discover!.  Both help you to use the data you have captured in Proficio, and both will improve your productivity.

Quick Report now includes an option to e-mail the report output in a variety of formats, including PDF and Excel. Coupled with another new Quick Report feature that supports the inclusion of an object’s image in the report output, both the quality of the information sent and the response time to requests for information from within or from outside your institution will be improved!

Proficio’s List Pane makes it very easy to sort, filter or group the current set of records you are working with, as well as add those records to a new or existing Tag Set.  But did you know that you can also export data in the List Pane, simply by clicking the File pull-down menu, selecting Import/ Export, and choosing the file type?  Users can create Excel, PDF, HTML, XML or text file formats using this option. The image below is a PDF that was exported from the list pane using Re:discovery Proficio.

National Park Service News

ANCS+ 8.0 has now been “in the field” for more than one year.  Overall, reaction to the new version has been extremely positive.  We've received numerous compliments from users, remarking that ANCS+ 8.0 is “intuitive”, “easy to navigate”, and “user friendly”.  Several callers have commented that as they use the program, they continue to find more new features that they really like.  One happy customer even says that ANCS+ 8.0 has made life much easier – not every software application can claim that!

We at RSI are very pleased that our hard work and years of development have produced a tool that our clients find helpful and easy to use.  Much of the credit goes to our clients themselves, who are always our best source of ideas for improvements and new features.  We’re not done yet, either.  More new features are planned for future updates, so keep those ideas coming.

ANCS+ User Manuals

The NPS Park Museum Management Program in Washington has shipped hard copy ANCS+ 8.0 User Manuals to the parks.  The 1,200 page manual covers all aspects of using ANCS+ 8.0.  If you have not received a manual at your park, please contact the PMMP at 202-354-2000.

Collections Management Report – How it Works

Re:discovery’s Scott Stone attended the recent NPS Museum Management Program Council meeting in Albuquerque.  Scott presented an explanation of how the Collections Management Report module gathers and calculates data from catalog and accession records.  The presentation was a summary of material available in the on-line field help, ANCS+ User Manual, and NPS Museum Handbook.  Following up on requests from the meeting, Re:discovery will develop the presentation into a new White Paper that explains the CMR and provides step-by-step instructions for checking your data for accuracy prior to annual submission.

Tips for ANCS+ 8.0: Built In Filters

Did you know that there are “built in” filters in ANCS+ 8.0?  In the Navigator, click the + next to Catalog Records to view them.  One particularly handy built in filter is “Count Fix”.  If you’ve received a report from the National Catalog, identifying inconsistencies in the Item Count, Quantity, and Storage Unit fields, activate the Count Fix filter to find the problem records.  Remember to apply the filter in both Cultural Resources and Natural History catalog records, to make sure you find and correct all the problem records.
